What the gap costs. A 25-person consultancy billing at $225/hour, at 1,800 available hours each, runs roughly $10m of billable capacity a year. Catching a single 15%-over-budget project of $200,000 four weeks earlier, rather than at close, is $30,000 that stays in the margin - which is the entire three-year software bill for most of the tools on this page.
Does it track budget-to-actuals in real time? Generic PM tools track tasks. Consulting PM tools track money. If your software can't show you whether a project is burning budget faster than planned, you'll always be reacting too late. Ask vendors to show you a live budget burn report before you sign. Utilization and margin reporting are a separate question, and a broader one - that is what an ERP for consulting firms is for.
Can it handle your billing model? Fixed-fee, time-and-materials, and retainer projects have different tracking needs. A tool that works well for T&M engagements may create blind spots on fixed-fee work. Make sure it handles the contract types you use most.
How much does your team actually have to configure? "Flexible" is often code for "you build it yourself." Tools like ClickUp and Monday.com are powerful but require significant setup to work for consulting. Budget 20–40 hours of configuration time if you go this route — or choose a tool that ships with consulting workflows out of the box.
Will it integrate with your financials? PM software sits between your CRM (where projects start) and your finance tool (where they end). If it can't push actuals into your accounting software or pull budget from your proposal tool, you'll end up with manual reconciliation every month.
